The contract will be sent to you by e-mail. It can be your student address or private emails, depending on what was noted by the person ordering your contract. The sender is DFØ – NTNU's supplier for digital contracts. When you receive the contract, you must read through it and sign electronically. See practical guidance on dfo.no: Sign a contractTutorial for foreign persons in English Log in to the Self-service portal When the contract has been signed, you will receive a new email from DFØ with information about logging in to the Self Service Portal. It is in the Self Service Portal that you will find information about salary, time, employment, etc. Enter information about next of kin etc. under "My information". The self-service portal also comes as an app. Hourly or monthly wages? Month: If you enter into a contract with monthly salary, you will be paid a fixed sum on the 12th of each month. Your contract will state how large your position is as a percentage. As a rule, student assistants with a monthly contract do not register time, unless otherwise agreed where you will work. By the hour: If you have an hourly wage contract, you must register hours and submit a timesheet to receive your salary. You can do this in the self-service portal under "My contracts". You must submit your timesheet by midnight on the last working day of the month. You can only submit one timesheet per month per contract. Guide: How to register working hours in the Self-service portal for hourly employees Salary NTNU's salary policy (in Norwegian) says something about the framework for salaries for student assistants. You can see an overview of hourly wages and typical job shares for student assistants on the page Lønn - beregning av satser student og læringsassistenter (in Norwegian). Salaries are usually paid on the 12th of each month. See an overview of the payment dates in NTNU's payroll schedule. Payslips and salary information can be found in the Self Service Portal and DFØ app. Tax When you enter into a contract with NTNU, we collect your tax deduction card directly from the Norwegian Tax Administration. If you wish to change your tax deduction card, you can do so on the Tax Administration's website. Go to Taxes for more information. IT access You will be prompted by the Oracle Service to activate your user account. It gives you the same basic access as other NTNU employees: e-mail address, feide ID and access to file area T: for the device you are connected to. You also get Microsoft 365 employee license. Sick leave If you become ill, inform your manager. Doctor-certified sick leave If you become ill before you have been employed for two months, you must submit a doctor-certified sick leave. In case of sick leave from a doctor, you can send a timesheet to the Service Center via NTNU Help. In the form, you submit the hours that were previously set up in your work schedule and that you are prevented from working due to illness. If you have multiple hourly contracts, you must submit one form per contract. The reason why you have to send the hours in this way is that the Self-Service Portal / App blocks the possibility to register time sheets when you are on sick leave. Self-declared illness When you have been employed for two months, you can use self-certification. You then notify your manager. You can register hours for the days you are sick, if the working hours were agreed in advance with your manager. Student assistants must not register holiday in the Self Service Portal You accrue holiday pay which is paid out in June or when you leave your job. Go to Holiday pay If you have a monthly contract, you will automatically receive a holiday quota in the Self-service Portal, and automatic notifications to send a holiday application within a deadline. Ignore these notifications. As a student assistant, you do not need to register holiday in the Self Service Portal. If you have already submitted such an application and had it approved, you can delete it. You will be paid your holiday pay with the final settlement. Hourly paid employees do not receive a holiday quota in the Self-service Portal, nor should they be allowed before holiday. Resignation If you have an hourly contract or you are a student assistant with a monthly contract, you should not use the termination form in the Self Service Portal if you wish to terminate your position. Instead, let your manager know. Your unit must then notify the Service Center via the NTNU Help form hourly, month and assignment contract. Duties and rights Persons employed on hourly or monthly contracts receive sick pay, holiday pay and pension premiums from Statens pensjonskasse.
