Here is how you set up your NTNU e-mail for iPhone and iPad as a student or employee. iOS users need to use the Outlook-app since the standard mail app on iOS does not support two-factor authentication. You can download the Outlook app on the app store. After clicking Add Account you will be need to authenticate. On the Please Authenticate page you will click Open Authenticator and the Microsoft Authenticator app will open. After authenticating you will be given the choice to add another account. Click the Maybe Later button and your NTNU e-mail account should be added to the Outlook app. Log in to Outlook in iOS without the Microsoft Authenticator-app Open the Outlook-app and log in with the format username@ntnu.no as shown below. After that, you will be directed to a new log in, where you will have to log in with FEIDE. Type in your NTNU username and password, and log in. If you get asked to add another account, choose the option Maybe later. You should now be logged in with your NTNU e-mail in the Outlook-app. Adding your NTNU e-mail in the Mail-app for iPhone and iPad On your device, open your Settings and click on Mail Select Accounts. Click on Add account Choose the option Microsoft Exchange Fill in your NTNU e-mail in the format username@ntnu.no. Add a simple description for the account, for example "NTNU e-mail". Click Next. Click on Sign in. You will now be sent to the FEIDE-login. Using VPN (virtual private network), you can connect to the NTNU network and access internal resources, your home directory or other NTNU network directories from home. VPN is an abbreviation for Virtual Private Network, and acts as a "secure tunnel" between your computer and NTNU's computer network and - systems. The traffic in the tunnel is encrypted and cannot be monitored. Use of VPN thus secures traffic to NTNU and will at the same time make your machine part of NTNU's computer network. This gives you access to services which only are reachable from NTNU's network, even if you are off campus. When you're connected to VPN you're connected to NTNUs network, and you therefore have to follow NTNUs IT regulations. Install VPN Do you have a PC managed by NTNU? In that case, you already have a VPN service, Always On VPN, installed and ready for use. No further installation is required. Note: Users of storage areas in NICE-1, needs to use the app NICE VPN to connect. You will find NICE VPN in Software Center. Change language In AppsAnywhere you can choose between Norwegian and English. There are two ways to change the language: You can choose the language when you sign in with your NTNU account. The Blackboard app makes it easier to stay updated with your courses in Blackboard as a student or teacher. This guide explains how to install the app, and gives also a summary of the app’s built-in functions. You will find the menu in the bottom of the page in the app, as shown in the picture below. 1. Activity stream (Aktivitetsstrøm)This page is the default landing page of the app and offers smart updates on your courses. 2. Courses (Emner)The tab offers access to all course content. The course room will be structured somewhat differently depending on whether you are a student or teacher. If you are a student, the course room will look like in the picture below. Here you can check the grades of your submitted work, view announcements, find course content and write in the discussion forum. If you are a teacher, the course room will look like in the picture below. Here you can grade and give feedback on submitted work, write announcements, view course content and write in the discussion forum. 3. Calendar (Kalender)On the page there are two selection menus: Schedule and Due Dates. In "Schedule" you can view submission deadlines. As a teacher, you can also add time of lectures and various sessions for your courses, so that the students can add them to their calendar in the app. In "Due Dates" you get an overview of all submission deadlines for a selected month. 4. More (Mer)Here you can view your profile page, check access to your organisations, grades, settings, and log out of Blackboard. 4a. Marks (Vurderinger)The page will be structured differently if you are a student or teacher. As a student, you will find here all the grades of your submitted work sorted by course, as shown in the picture below. The SmartPark app must then be used to activate a parking agreement. You shall not activate parking in the app when parking an electric car i parking lots reserved for employees and students. If you do so, you'll be charged 5,- kr/t. All employees and students who park their electric car at NTNU in Trondheim must activate an parking agreement in order to park for free at parking lots reserved for employees and students at NTNU. Here's how you proceed: Download the SmartPark app: SmartPark for Android | SmartPark for IOS.Register by going to "Parkeringsavtaler" on the app's left side of the screen.Choose "Trondheim" and "NTNU."Enter your Feide username (do not include "@ntnu.no") to park at employee and student rates.For questions, please contact Trondheim Parkering AS: post@trondheimparkering.no/ 73 10 98 80 Visitors using an electric car must pay visitor parking charge. On this page you will find information about the student ombuds at NTNU. The purpose of the student ombuds is to contribute increased legal certainty for the students. The Student Ombudsman is an independent, neutral and confidential support person for students. Feel free to contact the student ombuds for an informal and non-binding chat if you have questions related to your study situation. Working tasks The student ombuds at NTNU shall be an independent assistant to the students concerning the students rights related to the Act of universities and university colleges (uhl.) and other legal regulations related to the students rights. The student ombuds activities shall mainly include matters relating to the "study situation" where a student experiences injustice. Study situation means the student's relationship with NTNU. The student ombuds will advise students on what they can and should do to safeguard their interests. The student ombuds will help to resolve matters closest to where they occur, that is at the lowest possible level in the organization. The student ombuds will ensure that the cases receive sound and correct treatment and focus on the students' rights and equal treatment. The student ombuds will act as a supplement to other routines and systems for supervision and follow-up and does not dissolve NTNU information and guidance duties. The student ombuds may carry out investigations on how the case has been processed. The student ombuds does not have the authority to settle matters nor is it the appeal body for matters that have been dealt with and settled by other entities or decision-making bodies at NTNU. The student ombuds can decide if he/she wants to assist a student in one case or not. The student ombuds shall always give a reason when the ombudsman refuses to assist in a matter. The rejection cannot be appealed. The student ombuds may take matters on his own initiative to ensure legal certainty for the students. Matters regarding for example Lånekassen or the student welfare organization (Studentersamskipnaden) falls outside the student ombudsman's duties. The student ombuds also does not handle professional questions that’s related to any subjects at NTNU. The student ombuds will not act as a lawyer for the student or take part/pick sides in a certain case or in a conflict between two parties. Information and training The student ombuds will actively inform about his/her function to NTNU students and to student elected representatives about the students' rights and duties. Reporting Through annual reports the student ombuds shall report on his/her activities to the NTNUs principal.The annual report shall be submitted to LMU and NTNU's Board as an orientation case. The student ombuds shall inform the NTNUs principal on any serious issues or matters of principal importance. Annual reports can be found on the open page at ntnu.no/studentombud (Norwegian only) Confidentiality and access The student ombuds has duty of secrecy pursuant to section §13 of the Public Administration Act concerning matters that are known to him/her through his/her work. The student ombuds has only access to confidential information to the extent that the student concerned has given the consent. Questions regarding access to cases at the student ombuds follow the rules in public law (Act 19 May 2006 on access to documents in public works). Notification of critical matters Students may notify the student ombuds of critical circumstances (e.g. offense, bullying, harassment, security violations) affecting the student's situation. Students can notify anonymously through the student ombuds. If the student wants confidentiality regarding who has notified, the student ombuds must note that it may be limited to what extent the case can be pursued. Install Office 365 on phone and tablet The first time you open the app, you'll be asked to provide an email address. This is your NTNU username followed by "@ntnu.no".Click on Next. Two-factor authentication means that you use two factors (proof) to confirm your identity when logging in. The two factors are usually something you know, ie your password, and and something you have, such as a code chip or a mobile phone. In this context, the second factor is usually an app on your mobile phone. Why do we require two-factor authentication? The use of two factors makes it much more difficult for unauthorized persons to access the system in question, even in cases where the username and password are lost. Two-factor authentication is an extra layer of security that can prevent misuse of your user account. Statistics show that two-factor authentication reduces the risk of misuse by 99.9%. Prepare for two-factor authentication - recommended method Once you have been informed that two-factor authentication is about to be activated for your user, it is a good idea to make everything ready by the day it is introduced. Then you only need to press Approve in the app when you are asked to log in with two factors. This step by step guide will help you through the setup process. We recommend that you do this from your PC. Have your mobile phone ready. You will be automatically guided through the setup. Alternative method with USB security key We have an alternative method for you who cannot or will not use a private mobile phone in connection with two-factor authentication. You can read more about this on this page: Use a security key for two-factor authentication FAQ - Frequently Asked Questions What do I do when I get a new phone? To avoid problems with authentication when changing phones, it is a good idea to install the app on your new phone while you still have the old one in use. You will then be able to authenticate yourself from both devices in the transition. You can set up the app on a your new phone from this page. Select "Add method" and follow the instructions. From the same page, you can delete the association with apps on devices that are no longer in use. NOTE: If you have lost or no longer have access to your phone, you can sign in via ID-Porten to set up two-factor authentication on a new phone yourself. If you are unable to use ID-Porten you must ask Orakel Support Services for help setting up two-factor authentication on a new phone. How often do I have to authenticate? This may vary depending on the equipment you use and where you are located, but the normal interval is every 20 days. Can I use multiple authentication methods? Yes. You can easily add more methods and / or change the default authentication method for your user from this page. I get asked about two-factor authentication very often There are several possible reasons for this. Here are some tips: If you use Google Chrome then you can install this extension - Windows 10 Accounts There is also an extension to Firefox, but you need administrative access to your compter and technical skills - Windows 10 Accounts Port If you use private or incognito mode in the browser then you have to log in every single time since it does not remember the login. If you often log off and on VPN and/or use Tor browser, you will more often be asked to log in. Mobile phone with the app "Microsoft Authenticator" is the recommended method, but it is possible to use a security key for two-factor authentication instead of a mobile phone. After you have added your account your inbox will appear and the app is ready to be used. Student Assistant automatically changes to student The system is not designed to handle this type of double role where a student is registered for a course and is a Student Assistant in the same course simoultaneously. Please note that a student who also is a Student Assistant in a course might be able to cheat and gain advantages on assignments and exams, as well as being able to evaluate their own assignments. The solution is to add the Student Assistant in the course's "Undervisningsenhet samlebilde" with the role "Assistent" in FS. This must be done by the Orakel Support Services Is there a tool for attendance registration in Blackboard? Not at the moment. Does Blackboard have project rooms? Yes, Blackboard has organizations, which can be used for these purposes. You can order organizations from your faculty contact. I get multiple notifications in the Blackboard app, what is wrong? This is a known issue which will be fixed in an upcoming update. You can attempt to clear the cache in the app. Building Content Why can't I see the create buttons? Whenever you want to create something new, you must set edit mode to on. You can find the edit mode button on the top right of the page. Assignments, Surveys and Tests Can a lecturer hand in an assignment on behalf of a student? Blackboard does not support this functionality as it can be a security risk. Students should always hand in their own assignments. Is it possible to completely disallow delivery of late assignments? Yes, this is possible. When you create or edit an assignment, you can set options for availability. By setting a Due Date the assignment becomes unavaileble for students after a given time and date.Note: We do however not recommend this. It is not possible for an individual student to submit a group assignment without being a member of a group. Timesheets must be submitted no later than 00.00 a.m. (midnight) on the last working day of the month in order to be paid the next month. Only one timesheet can be submitted per month per contract. Employees who register remunerations on top of their working hours If you as an hourly paid need a supplement, you must enter two different tiles in the Self-Service Portal: First, register your hours under "My contracts". Doctor-certified sick leave If you become ill before you have been employed for two months, you must submit a doctor-certified sick leave. In case of sick leave from a doctor, you can send a timesheet to the Service Center via NTNU Help. In the form, you submit the hours that were previously set up in your work schedule and that you are prevented from working due to illness. If you have multiple hourly contracts, you must submit one form per contract. The reason why you have to send the hours in this way is that the Self-Service Portal / App blocks the possibility to register time sheets when you are on sick leave. Self-declared illness When you have been employed for two months, you can use self-certification. You then notify your manager. You can register hours for the days you are sick, if the working hours were agreed in advance with your manager. Holiday and holiday pay You accrue holiday pay which is paid out in June or when you leave your job. Go to Holiday pay Do not register a holiday in the self-service portal If you have an aspirant position, e.g. student assistant or learning assistant, and monthly contract you will automatically receive a holiday quota in the Self-service portal, and automatic notifications to send a holiday application within a deadline. Ignore these notifications. As a student assistant, learning assistant and other aspirant positions, you must not register holidays in the self-service portal. If you have already submitted such an application and had it approved, you can delete it. Hourly wages do not receive a holiday quota in the self-service portal, and you are not supposed to register a holiday in the self-service portal. Resignation If you have an hourly contract or you are a student assistant with a monthly contract, you should not use the termination form in the Self Service Portal if you wish to terminate your position. Instead, let your manager know. Your unit must then notify the Service Center via the NTNU Help form hourly, month and assignment contract. Duties and rights Persons employed on hourly or monthly contracts receive sick pay, holiday pay and pension premiums from Statens pensjonskasse. Do not wait for motivation to get started, but start the work and let the motivation catch up with you. Just doing something at all may create a desire to both do and learn more. Expectations from others may be a source for motivation, so it may be a good idea to arrange study groups with fellow students. The Social Life Feeling good socially is good for motivation. Try to get to know your fellow students. Set up meetings and work together with the courses and assignments if possible. This is a great way to start working and may contribute to new perspectives. Moreover, it is pleasant as well! If you would rather work alone, arrange to meet others for lunch or coffee. Maybe you want to make new friends or find interesting leisure activities in one of NTNU’s many student organizations. The University is a great place to meet people that share the same values and interests as you, and to create new relations. Do try to include other (and maybe less extrovert) classmates to take part in your study or lunch group.
