Step-by-Step guide to parental leave
Regardless of your parental role and the size of your position at NTNU, you must notify NTNU of your leave and follow these steps:
1. Inform your manager that you will be taking parental leave. If you need adjustments to your work during pregnancy, you should talk to your manager about it.
2. Plan the leave with your partner. Consider:
- When will the leave start and end?
- Will you have 100% or 80% income?
- Will you combine work with leave?
- Will you take holiday during the leave?
3. Notify the Payroll and HR Service Center in NTNU Hjelp. You should do this at 12 weeks before the leave starts. Note that your manager will be informed after you have notified the Service Center.
The father or co-mother gets two weeks off at the birth. You do not need to report this absence to the Service Center or apply to NAV for parental benefits. Register it as a absence request in the Self-Service Portal (absence code 440).
4. Receive guidance from a caseworker at the Service center. When you report your parental leave, you will be offered a guidance meeting with a caseworker at the Service Center. In the meeting, we will help you with your leave application to NTNU and your application to NAV for parental benefits.
- The meeting is mandatory if you are going to combine leave with a reduced work percentage. In these cases, your manager has the authority to make decisions, and the plan for taking leave should be clarified and approved by the manager before the meeting. This also applies if you plan to split your leave into periods of full work and leave. If you want to include your manager in the meeting, write this in the comment field when submitting the case.
- The meeting is optional if you are going to have 100 percent continuous leave. If you decline, you will receive written guidance instead.
5. Submit an application for parental benefits to NAV AND parental leave to NTNU. You should send these two applications six weeks before the leave starts.
If you are going to have a guidance meeting with the Service Center, we will submit the applications during the meeting. If you do not have this meeting, follow the guidance you receive from the case handler at NTNU Help.
6. Receive a summary from the caseworker. After the meeting, the Service Center will send a summary to both you and your manager via email. If you do not have a meeting, the summary will be sent to your manager based on the written guidance you have received.
The summary also includes the plan for the leave. You can provide feedback if there is anything that is incorrect.
7. Send us a copy of the decision from NAV. When you receive it, upload it as an attachment in the parental leave case in NTNU Help.
Note that NAV will not be able to process your application for parental benefits unless the steps above are completed.
If you need to change or extend your leave
If you need to change your leave along the way, for example by extending it by adding holiday or taking unpaid leave, you must inform your employer:
- Contact your manager and agree on the change.
- Inform the Service Center about your parental leave case in NTNU Help.
You will receive guidance in your case on what you need to do next.
If you are unable to inform the Service Center yourself, your manager can do it for you in NTNU Help. Both you and your manager will receive an updated overview of the leave from the Service Center once the changes have been registered.

- Parental benefits ensure you have income during the leave.
- Note that you must apply for both. You will receive more information about this when you notify the Service Center.

Restart Grant for PhD Candidates and Postdocs
The faculties offer restart grants for PhD students and postdoctoral researchers who have taken parental leave for more than six consecutive months. The grant is provided in the form of a one-month extension of the employment contract. Check local information at your faculty or contact your local HR representative.
