HSE responsibility for health professions students on international exchange - for employees - MH

Are you involved with study administration or teaching at the Faculty of Medicine and Health Sciences (MH)? Do you have responsibility for students going abroad for foreign exchange?

As an educational institution, NTNU is responsible for ensuring that health, safety and the environment (HSE) is taken care of for students who are staying abroad in connection with their studies. This page gives you an overview of what the responsibility of NTNU is, and what the student who is to travel on exchange is responsible for, when it comes to HSE.

Before the student goes abroad
Tasks Who is responsible?

Students must apply for an exchange through Søknadsweb. The exchange will then be registered in FS, and contributes to the necessary overview of where NTNU has students travelling, e.g. in case of an emergency situation.

An application for an exchange that has not been sent through Søknadsweb should not be taken in consideration.

The department / study programme informs the students that they must apply.

The Faculty informs students taking English semester in Medicine.

The department and study programme carry out the assessment, as they are usually best acquainted with the activities that provide opportunities for exchange for students.

The Faculty assesses the risk of students taking English semester in Medicine.

The students themselves must assess any risks associated with, for instance, their own health.

The department / study program informs students that they must make this assessment themselves on the basis of their knowledge of their own health.

The Faculty informs students taking English semester in Medicine.

Students must be informed about necessary contact information for NTNU if a crisis arises during the exchange stay.

Students must sign a contract / agreement with the university:

  • For students on exchange via bilateral agreements, a contract describing the student's and the department's responsibility must be signed. See Form for an agreement on exchange of practice.

  • For Erasmus exchange students, the Learning agreement / Training agreement must be signed. This is done in collaboration with the International Section.

  • For fieldwork, the field card at NTNU can be used. The field card is sent electronically to DOKU (The Document centre), which places this unallocated in Ephorte at the student's unit.

The department / study programme ensures that the contracts are signed by all parties.

For English semester Medicine, the Faculty ensures that contracts are signed by all parties.

 

The student must register their stay abroad with the Ministry of Foreign Affairs at www.reiseregistrering.no  

The department / Faculty informs the student. The Faculty informs students of English semester medicine.

The student is responsible for registering.

 

The student submits an address abroad and information on next of kin to the Faculty in a separate form.

The department / study programme informs the student.

The faculty informs students taking English semester Medicine.

The student is responsible for registering the information.

During the exchange
Tasks Who is responsible?

NTNU and the student need to have contact during the exchange stay.

A contact at the exchange institution that can assist the student in the event of a crisis must be established.

Students on travelling to low-income countries where the risk of health and accidents is high, should be contacted through regular skype meetings. 

The department / study programme is responsible for establishing and maintaining contact.

The Faculty is responsible for students taking English semester in Medicine. 

Students must have good knowledge of the situation in the country (according to the contract). 

The students are responsible for keeping themselves informed.

The department / study programme informs them about this responsibility at its information meetings for students going on exchange. For students taking English semester in Medicine, the Faculty informs the student.

After return
Tasks Who is responsible?

After an exchange stay, there may be a need for a debriefing for students for various reasons.

 

The department / study programme is responsible for assessing the need, and facilitating a debriefing if needed.

The Faculty has this responsibility for English semester Medicine students.

It is required that students at MH are tested for MRSA and TBC. This requirement applies if the student has spent at least 3 months in a country with a high incidence of tuberculosis in the last three years.

The department / study programme must inform about this requirement at its information meetings for students who are going on an exchange.
