Before the trip
Book your travel through Berg Hansen
It is important to prepare well for your stay abroad to ensure it can be carried out as safely as possible. NTNU employees must book their travel through Berg Hansen and follow NTNU’s travel guidelines.
Check travel information from the Ministry of Foreign Affairs
For all trips abroad, you must read the Ministry of Foreign Affairs’ (MFA) travel information (in Norwegian) for the country or region you are visiting. The MFA’s travel information covers entry requirements, natural conditions, and other relevant details for nearly 200 countries.
Follow travel advisories from the Ministry of Foreign Affairs
The MFA issues official travel advisories (in Norwegian) when there is reason to advise Norwegians against traveling to or staying in a specific country, area, or region.
During your trip, you should always follow the current travel advisories for the areas you are in or plan to visit. Travel advisories are issued, adjusted, and lifted based on a comprehensive assessment of the situation.
NTNU employees must follow the advice issued by the Ministry of Foreign Affairs (UD) and, as a general rule, not travel to countries or areas that have a travel advisory. If travel is still being considered, a risk assessment must be carried out and the trip must be approved by the department – see the Ministry of Foreign Affairs’ travel information (page in Norwegian).
Register your travel information with the Ministry of Foreign Affairs
The MFA also recommends that you register your travel details (in Norwegian) before departure. In the event of a serious incident, the MFA can send you information via SMS or email.
You can register your trip through the Reiseklar app (in Norwegian) for Android and iOS. The app also includes other useful features.
Enter into an agreement on change of workplace
When you are going to work somewhere other than your usual workplace, you must enter into an agreement on change of workplace. In this agreement, you will need to provide details such as the new country of work and contact information. If this information changes, it is important that you notify your immediate manager.

Download the emergency number app
The Norwegian Church Abroad (Sjømannskirken) offers an emergency number app that provides an overview of all local emergency numbers, no matter where in the world you are. You can also add relevant information such as insurance details, contact numbers for next of kin, and your employer.
Find your nearest foreign mission
If you need consular assistance abroad, you can contact the nearest foreign mission (in Norwegian) or the Ministry of Foreign Affairs.
During the trip
In case of a crisis or incident – follow advice and stay informed
If a crisis or incident occurs while you are traveling, you must follow the advice of local authorities, your host institution, and the MFA/nearest foreign mission. Make sure to stay updated on the situation. If necessary, seek assistance from local police, fire department, doctor, or ambulance.

Contact your next of kin and notify NTNU
After following advice, staying informed, and ensuring your safety, you should contact your closest relatives and your immediate manager as soon as possible if you are in an area affected by an accident or other incident.
NTNU has an emergency preparedness agreement with the Norwegian Church Abroad (Sjømannskirken). In the event of a serious incident, the church will make its resources available and be on site as quickly as possible, regardless of where in the world the incident occurs outside Norway.
