Agreement on Change of Workplace
When an employee is to work at a location other than their usual workplace, an agreement must be made regarding this. Here you will find information on when and how, as an employee, you enter into the agreement, and how, as a manager and/or HR employee, you handle it.
You should not use this procedure to apply to work from home.

How to Enter into an Agreement on Changing Workplace
- Clarify the change of workplace with your manager.
- Fill out the agreement at the top of this page and submit it to your manager.
- Your manager will process the agreement.
- Your manager will ensure that the approved and signed agreement is stored in your personnel file.
- For international workplaces, your manager will ensure that the agreement is sent to the Payroll and HR Service Center via NTNU Help.
- Deviations from the employment agreement require approval from your manager and a change in the associated supplementary agreement.
When Do You Need to Enter into an Agreement?
The general rule at NTNU is that employees have a fixed workplace on campus. If you plan to temporarily work elsewhere than on campus, you must enter into a written agreement in advance. For example:
- Before a sabbatical
- Before other planned and agreed-upon domestic research stays or research stays abroad
- When you will temporarily work elsewhere as part of a PhD or postdoctoral period
If you wish to change your workplace in Norway or abroad for social or personal reasons, contact your manager.
The agreement on changing workplace does not apply to:
- Business trips
- Courses and seminars organized by the employer
- Participation in short-term conferences

Why Do You Need to Enter into an Agreement?
The employer is required to document changes in the workplace.
When you move your workplace off-campus, it becomes an addendum to your employment contract, which must be filed in your personnel file.
For work stays abroad, the employer is generally required to report the country of work and the planned period to Norwegian authorities. This forms the basis for the employee to apply for tax deductions related to relocation expenses.

Processing the Agreement
The manager is responsible for processing the agreement. After reviewing the agreement, the manager informs the employee of the decision made. If approved, it is the manager’s responsibility to ensure that:
- The agreement is stored in the employee's personnel file.
- For international workplaces, the agreement is sent to the Service Center through NTNU Help – work abroad.

Local routines
- Faculty of Medicine and Health Sciences: In addition to the forms at the top of this page, the faculty has its own procedures for registering all foreign travel.
- Faculty of Social and Educational Sciences: In addition to the forms at the top of this page, the faculty has a local procedure where you must apply for pre-approval of travel through the Self-Service Portal.
- Faculty of engineering: Has a local routine for changing workplaces with a duration of more than three days. For stays over a month, use the pdf's at the top of this page. In addition, all stays abroad must be registered in NTNU Help.
- Faculty of Humanities: Do not use the forms on the top of this page, but follow local procedures for changing workplace at HF.
- Faculty of Natural Sciences: Do not use the forms on the top of this page, but follow local procedures for changing workplace at NV.
- NTNU University Museum: Do not use the forms on this page, but follow local procedures for changing workplace at VM.
