On the other hand, NTNU employees cannot accept or give gifts, discounts, travel or similar benefits that might affect decision making. NTNU requires special dilligence in this regard in conjunction with suppliers and external business and research partners. Use of position Employees shall not use their position for personal gain. Be conscious of preserving and strengthening respect for your position at the university. This is one way that you can help protect and preserve NTNU's good reputation. Disqualifications for purchasing NTNU employees shall not attempt to gain benefits or perquisites for themselves or other individuals that might call into question their integrity. NTNU employees shall not write a procurement need that can be perceived by others as a conflict of interest. This applies to both direct personal interests, as well as the interests of others. If an employee plans a purchase from a firm in which he or she knows that NTNU employees have an interest, the purchase must be justified in writing and approved by the purchaser's immediate supervisor. If personal interests can affect decision making in a case in which an employee has professional responsibility, or where others can reasonably perceive that situation to be likely, the situation should be forwarded to the individual's immediate supervisor to decide whether or not the individual should recuse him or herself from the case. See also Ethics in purchasing Socializing Moderate forms of hospitality and socializing are considered to be polite. However, the degree of this attention should not reach the point where it affects the decision making process, or that can give others the perception that it can affect the process. The frequency and degree of these interactions must be reasonable in relation to business or service needs. Gifts and other perquisites Employees cannot on behalf of themselves or others accept gifts, food, services or other perquisites that are designed to affect any action. This does not apply to small marketing articles or Christmas greetings in the form of small gifts that have little actual value, where it is clear that the gift can in no way affect the decision making process. The decision as to whether or not a gift may be accepted depends on a concrete evaluation in certain cases. What matters is if the gift can affect the recipient's integrity, or can give others the impression that the individual's integrity is compromised in a way that harms the individual or NTNU. Gifts that have a connection to a concrete issue that is up for a decision shall not be accepted. If there is any doubt as to whether or not the gift should be accepted, it should be politely refused. Gifts/awards from funds, foundations, and organizations There are many circumstances where researchers from NTNU receive support in the form of gifts or awards from different funds, foundations or organizations. In order for these gifts and awards to be posted in NTNU's accounting system, the following conditions must be met: There must be an awards letter where it is clear that the gift or award is being given to NTNU It must be clear in the application form that the researcher is applying for funds on behalf of NTNU, and not as a private individual. In cases where the giver only has a relationship with the individual who is receiving the gift or award (such as where the awards letter is written to the researcher's privat address and the application was not made through NTNU), the award or gift should not be posted in NTNU's accounting system. Travel and lodging must always be paid for by NTNU When suppliers and other businesses offer visits to private companies, travel to exhibitions and the like, it is required that NTNU pay for all travel related expenses, including travel and lodging. Private use of contract agreements General agreements with suppliers on the supply of goods and services to NTNU shall not be employed by employees for their private use. This also applies to the employees family and friends, if the benefit is linked to the individual's employment at NTNU. If you are uncertain If you are uncertain as to how these regulations should be interpreted, you should discuss the matter with your immediate supervisor. Law - Civil Servants Act (Statsansatteloven) Statsansatteloven §39: "No government official or civil servant shall accept gifts, food, services or other benefits on behalf of themselves or others that are suited to, or by givers are meant to affect that individual's service or conduct of duties, or that under applicable regulations are forbidden to accept. Here you will find information on how you can use Zoom in public defenses. A digital defense will also be open to the public, and the audience will be able to pose questions to the candidate. As the Defending Candidate The Zoom session should start roughly 15-30 minutes before the defense. This is done to ensure that there are no technical issues before the defense begins. We recommend all participants to connect to the Zoom meeting earlier than the defense begins, regardless of whether or not they are active participants in the defense.We recommend that you use a headset with a microphone. This will reduce background noise and will improve the audio quality.We recommend that you sit in a room alone during the defense to further reduce background noise. The defense will be open to the public, so you should keep in mind that everything in the background will be visible to others as long as your camera is turned on.To limit distractions from other applications or programs on your own PC, it is a good idea to turn off all audio and notifications from other apps, like e-mails and browsers.Turn the sound off on your phone during the defense. As a Member of the Public Audience Anyone can attend the defense, even if they are not associated with NTNU. All you need to do is install Zoom or run Zoom from your browser.The Zoom session should start roughly 15-30 minutes before the defense. This is done to ensure that there are no technical issues before the defense begins. Work with genetically modified organisms

Genetically modified organisms (GMOs) are microorganisms, plants and animals whose genetic composition has been altered using genetic engineering or cell technology. Genetic engineering involves methods of isolating, characterizing and modifying genetic material and inserting it into living cells or viruses. Genetic engineering is regulated by the Gene Technology Act. The use of genetically modified organisms must also be reported to the Directorate. More information and various forms for applying for approval and for reporting are available from the Directorate of Health’s website on genetic engineering (in Norwegian). Work on genetically modified microorganisms that are classified in human pathogen hazard groups 2, 3 or 4 according to the Regulations concerning action and limit values, Annex 2, must also be reported to the Labour Inspection Authority (Regulations concerning the performance of work, Section 6-3 ). When using new GMOs, it is not necessary to send a new notification (except for hazard group 4). Units at NTNU must have procedures for registering all new projects that involve the use of GMOs, conducting a risk assessment of these projects, and ensuring that approval and notification to the Directorate of Health are in order. Changes to existing projects must be handled in the same way. Annexes III and IV of the Forskrift om genmodifiserte mikroorganismer (Regulations on genetically modified microorganisms) and Annex III of the Forskrift om genmodifiserte planter (Regulations on genetically modified plants) contain helpful information for assessing the risk of work with these organisms. Other sources of general information on genetically modified organisms are listed under help. Formulate notifications to the Directorate of Health in a way that will cover any minor changes in the projects. For example, it is not necessary to send a new notification every time you replace a bacterium in an existing research set-up (if the bacteria in question are classified in the same hazard group). However, activity or agents classified at containment level 3 must always be reported separately. Containment measures Containment is necessary for any work operation in which genetically modified organisms are produced, cultured, stored, destroyed or used in other ways. This means that work on GMOs must take place in a closed system using physical and possibly other specific containment measures. The aim is to ensure a high level of safety for humans and the environment by limiting contact with GMOs. Genetically modified animals The classification of the genetically modified animal determines the containment requirements for the laboratories and facilities to be used. Animals covered by the regulation are classified as vertebrates, invertebrates or aquatic animals. For activities where genetically modified animals fall into several of these classifications, containment measures for the individual groups must be combined. Laboratories for using genetically modified animals must meet the technical requirements stated in the application form for approval of laboratories and facilities (Annex I, Regulation on contained use of genetically modified animals, in Norwegian). Laboratories must be designed in accordance with requirements for containment measures (biosafety level, BSL), Section 8-4 of the Workplace Regulations. Genetically modified plants Genetically modified plants are classified at a containment level based on the plants’ potential for outdoor establishment and dissemination as well as their ability to release pollen, on the scale S2-S4. S2 = contained use of genetically modified plants with high biological containment, i.e. plants without the capacity for outdoor establishment and disseminationS3 = contained use of genetically modified plants with moderate biological containment, that is, plants with the potential for outdoor establishment and dissemination, but with little capacity for the release of pollenS4 = contained use of genetically modified plants with low biological containment, i.e. plants with the capacity for outdoor establishment and dissemination as well as the ability to release pollen.The requirements for containment measures are specified in the application form in Annex I in the Regulations on contained use of genetically modified plants (in Norwegian). Genetically modified microorganisms Microorganisms are defined as any cellular or non-cellular microbiological entity capable of replication or transferring genetic material, including viruses, viroids, animal cells and plant cells in culture. Several types of genetically modified microorganisms are classified according to the risk of infection they pose to humans (see the Regulations concerning action and limit values, Annex 2), and the hazard groups have associated containment levels designed to prevent the microorganism from coming into unintended contact with humans or the environment. Laboratories and facilities for work with genetically modified microorganisms are classified in containment levels 1, 2, 3 and 4, where 1 is the lowest containment level. The minimum requirements for containment measures are shown in the table in Annex I C, I D, and I F in the Regulations on contained use of genetically modified microorganisms (in Norwegian). In some cases, it may be necessary to use a combination of measures from the tables. Necessary containment measures in connection with the use of genetically modified organisms are described in more detail in various regulations. Here, special containment requirements are also described for the combined use of genetically modified microorganisms, animals and/or plants. If there is any doubt about which containment levels and containment measures are appropriate for planned contained use, the most stringent protective measures must be used. Procedure for incidents involving GMO Units at NTNU must have procedures for handling non-conformances or incidents that occur during work with genetically modified organisms. As a minimum, the routines must include information about resource persons internally at the department or at the faculty who can help if an incident occurs. Spills that contain genetically modified microorganisms should be handled in the same way as infectious biological factors, for example as follows: Use disposable gloves. Wipe up as much of the spill as possible with paper towels. Clean the surface using sodium hypochlorite solution. For larger spills: Cover the surface in paper towels and soak them with diluted sodium hypochlorite (1:3) or concentrated sodium hypochlorite. Let this stand for ½ - 1 hour. If this is not possible, clean the surface thoroughly with sodium hypochlorite solution (without leaving it to soak) or with a 70 % alcohol disinfectant. Put the paper and other materials used for cleaning, other paper and gloves that have been in contact with the spill in a plastic bag. Tie up the bag and dispose of it in the same way as for other biological materials. Finally, use an ordinary detergent for cleaning. Use common sense and knowledge about infection pathways and modes of transmission. Always keep in mind those who will take over the work after you; cleaning staff at the workplace and personnel at incineration plants. Reporting non-conformances and incidents All non-conformances/incidents involving genetically modified organisms must be reported to the person with responsibility for the subject area internally at the unit, to NTNU’s system for reporting non-conformances and incidents and in an email to the Directorate of Health, Avdeling for bioteknologi og helserett (Department of Biotechnology and Health Legislation), pbx160600ashb@helsedir.no. In order for everyone to have such a good experience of participating in video- based communication, the following video meeting guidelines are suggested guidance, teaching and recording of teaching videos on your own computer. In addition to a meeting agenda, be sure to include alternative contact information that can be used if any of the participants encounter technical problems Turn off software that you do not use while the video call or -recording is in progress. This is especially true of software that generates some web traffic or machine resources (such as Outlook, backup programs, etc.)Meet up well in advance of the meeting so participants can test the quality of their connections and equipment and make adjustments if needed. The meeting leader should take the responsibility to point out technical or user problems and suggestions before the meeting beginsBe prepared to give and receive feedback on the technical quality of the conversation along the way. Use the chat feature in the video software if it exists, or stop the meeting if the technical quality becomes too poor so that errors can be correctedUse and respect any functionality for raising hands and other meeting management functionality that exists in the tool you are using. Evaluate and decide how the chat-windows will be used during the meeting. Practice in advance to master your computers ́operating system and the video platform. During a call, you should be able to quickly: Mute/unmute your microphone and turn on/off your camera feed if requested Adjust the sound level from your microphone (in the software or in the operating system) Share your screen and demonstrate things you are working on, if applicable Share files to meeting participants, if possible in the application you are using Be present in the chat-window and be able to respond to «polls» and other activities You should preferably use an external microphone and mute the sound during those periods in the call when you are not talking. A wired headset with a microphone is usually the best technically choicePay attention to other sources of noise where you are sitting and reduce them or move to a more suitable location. Also note the noise you may make yourself. Your keyboard, papers or lunch wraps are common examples of noise. Listening to your own sound may help you to be more aware and empathic Do not sit with your back against a window during a video meeting or recording. The large contrast difference between the foreground and the background will often make it difficult to see your face for the other meeting participants Frame yourself sensibly in the video window and look into the camera when you speak. If using a regular laptop, raise your webcam/laptop during the conversation and make sure the video window and webcam are close to each other. Show your face when you are talking, and be open to to turning off your camera feed when you are not talking to save on bandwidth Use preferably a wired network connection during video conferencing. Overall, it will provide the best technical quality.
