There is at present a larger user volume active on Mobility-Online, both internal NTNU users as well as other institutions that use the platform. As a consequence, some users experience problems when submitting an application. We recommend trying again outside office hours, preferably in the evening.

About the new system

In the spring of 2023 NTNU adopted a new caseworking system for foreign excange, Mobility-Online, and from the autumn 2023 all outgoing exchange applications are processed through this system. NTNU pilots the system for the sector, and changes vil occur as time progresses. Users of the system vil also reveive a survey that we hope everyone will take the time to answer. The feedback is an invaluable resource to us and will be used to, among other things, further develop the system and make it easier to use.

How does it work?

One of the great advantages with Mobility-Online compared to the old system, is that students are granted greater insight into the status of their application. After submitting an application, students can at any time log in to the system and review the status of the application. The students will also have to complete certain actions in order for the Unit of International Relations to further process the application. Therefore it is recommended to regularly log inn and see if any actions are required. This could for instance be submitting new informations, or documentation.

  1. The first step of the process is to submit an application by filling out one of the forms available on the page for application for exchange stay abroad. If you are uncertain as to what form is the correct one for you, please contact the Unit for International Relations.
  2. After submitting an application, you will receive a personal login link to Mobility-Online through your student email where you can view the status of your application, complete required actions, withdraw your application, and if need be edit your application (up to, but not after, the application deadline).
  3. Your application is now created, and will be processed!

Frequently asked questions

  • I can't find the destination I want to apply to in the application form
    This can happen for a few reasons: NTNU does not have an exchange agreement with this institution, or the agreement is for whatever reason not listed in the system. Contact the Unit for International Relations if this occurs, and we will find out what is the case. If the agreement is not listed in the system, we can add it and the institution should become selectable. It is also possible that you do not qualify for exchange through any existing agreement; the exchange agreements often concern specific areas of study and study levels (i.e. bachelor or master). Note that Mobility-Online filters and removes partner universities from the application based on these parameters - this is why many options "disappear" after choosing a study program. If no relevant agreements for your study program exist, the partner is not displayed. If a country has no relevant partners, the country is not displayed.

    As of 23.01. most system error-related reasons for not finding a given partner in the application form, should be fixed. If you have not tried to find a given partner in the application form since then, please try again before you take contact with the unit for international relations.

    NOTE: It is NOT a solution to choose a different study program in the application. This can lead to the partner rejecting your course plan, and you'll have to cancel your stay. Students who have received a grant/scholarship from NTNU at that point, will have to pay it back in full.

    Note 2: If you're planning in going on exchange during a general study year (breddeår), or otherwise follow a study program which branches into very different fields of study (Like the Teacher with science education, which can specialize in chemistry, physics, mathematics, biology, or ICTs), you answer "Yes" to the question "Are you taking a general study year abroad, or does your study branch into different areas of study?". You will then have the option to choose an alternative study area further down the form (Ordinary exchange application)
  • I receive an error message when I try to submit my application
    Check that your student email address is written correctly: it should be on the form username@stud.ntnu.no. It is this address that your login link is sent to, so if you have written for example username@ntnu.no (an invalid address), the system will not be able to send out the login link, and thus won't be able to create your application. You will also not be able to submit an application if you've previously submitted another application for the same semester. In that case, you'll have to either edit your existing application, or contact the Unit for International Relations.
  • I can't edit my application/fill out requested information
    Before you can edit fields in your application, you have to press the "Update"-button to enter editing mode. Afterwards, you have to click "Save changes" to, well, save your changes.
  • I can't upload documents
    Some documents, like arrival and departure confirmations, can only be uploaded once you have reached certain points of the application process. Other documents can be uploaded at any time under the workflow-category Various documentation.
  • How do I cancel my application?
    All applications have a workflow category named Cancellation application. If you do not see it, it might be hidden under the Necessary steps-category. (Small UI-differences can occur). Note that cancelling your application is irreversible.
    • Click on Cancel your application (1).
