What is Webex - Confidential Digital Interview?
Webex - Confidential Digital Interview is a service for digital interviews and meetings with confidential content. It consists of a web portal to plan and send meeting invitations, and the Webex tool for conducting meetings with recordings. The recordings are automatically transferred to your home directory on NTNU servers.
The service ensures privacy and is in line with NTNU's information security guidelines. It is available for all NTNU students and employees, and is ideal when conducting digital interviews in research and student projects, job interviews and other confidential conversations.
What is confidential information?
The most common example of confidential information (also known as red data) is special categories (sensitive) personal data. Other examples include trade secrets and information subject to export controls. See also Classification of Information Assets - Guidance.
You should always use the Webex service when conducting and recording digital interviews and meetings with confidential information (red data). If you are not recording the meeting, or it only includes internal (yellow) information, you should use Teams or Zoom. Read more about Data Collection.
Use the service
Request access via Research Data @NTNU at least 2-3 days before your first interview. You will receive start-up information in NTNU Hjelp and get access in the time period you need the service. Lastly - sign in to Webex - Confidential digital interview.
User Guide
The start-up information you receive in NTNU Help includes the User Guide for Webex - Confidential Digital Interview (PDF). It is also worth noting that:
- Participants must register and consent to recording before they receive the link to their digital meeting room. The consent is stored together with the meeting recording.
- The meeting does not have to be held at the specified time, but will be available in your and the participants' calendar. You can find all future meetings under "My meetings".
- When you are logged in to the meeting, you can see if the meeting participant is ready. Press "Admit" to include the participant in the meeting.
- Once the meeting is underway, you can choose when to start recording. After the interview is finished and the meeting has ended, the recording is automatically transferred to your home directory at NTNU servers. It takes a few minutes for the recording to be transferred (for long recordings, it may take a little longer).
Guidelines for use
- Can be used by students and employees at NTNU. NTNU has a limited number of licenses, access will therefore be allocated for limited time periods based on need.
- The service is set up for use on confidential (red) data.
- All collection and processing of personal data (including recording of meetings) must have a lawful basis. Research and student projects must be reported to Sikt for assessment.
Data processing agreement and risk assessment
NTNU has entered into an agreement with Atea regarding setup of the web portal and use of Webex, including a data processing agreement. The web portal and templates are set up to ensure privacy and information security when handling confidential (red) data. The service is delivered as part of the Research Data Project at NTNU (2021-25), which also conducts the risk assessment and data privacy impact assessment (DPIA).
