Adding a shared mailbox in Outlook

This article will show you how to add a shared mailbox to Microsoft Outlook.

If you have recently been given access to a shared mailbox, you must log out of Windows and log in again to update your group memberships.

Microsoft now offers different variants of Outlook, and it is important to know which one you are using when adding a shared mailbox:

Classical Outlook - the traditional desktop application
New Outlook - a newer version with more modern design
Outlook on the web (formerly OWA) - the web version of Outlook, available through your browser

Windows - Outlook

  1. Open Outlook
  2. Click ... (to the right of your account).
  3. Search for shared mailbox.
  4. Click Continue
  5. Click Restart Outlook
  6. The shared mailbox should appear in the bottom of your left menu.

Windows - Outlook (classic)

  1. Open Outlook, go to File > Account Settings > Account Settings
  2. Choose your email account and click Change
  3. Click More options
  4. Go to the tab Advanced
  5. Under Open these extra mailboxes, click Add
  6. Write the name of the shared mailbox and OK
  7. Click Use > OK > Complete
  8. Close and start Outlook again. The shared mailbox should now be shown in the left menu.

Web client: Outlook on the web (former OWA)

  1. Open https://outlook.office.com/mail/ in a web browser and log on with your NTNU user
  2. Right click the name of you primary mailbox (your NTNU email address) in the left menu
  3. Add shared folder or mailbox
  4. Add the email address of the shared mailbox and Add
  5. The shared mailbox should be visible in your left menu

Alternative method (Outlook Web App)

  1. Open https://outlook.office.com/mail/ in a web browser and log on with your NTNU user
  2. Click you profile icon in the top right corner
  3. Click on Open another mailbox.
  4. Search the name of the mailbox you want to access, click Open
  5. The shared mailbox should open in a new window.

MacOS

  1. Click File, Open, Shared Mailbox...
  2. Search for shared mailbox
  3. Click Add
  4. The mailbox will be visible at det bottom of the left menu.
