Check the register of voters

Information to students and staff who want to check that they are correctly recorded in the register of voters at NTNU. Election to the Board, Faculty Board and to structures for participation and co-determination at the departments take place every spring. In the autumn, the election to the Student Parliament takes place. The register of voters at NTNU is also used for other elections.

Check that you are correctly listed in the register of voters by the deadline

The joint register of voters for all elections at NTNU is issued each spring and autumn after students’ registration for the semester. Voters must themselves check how they are recorded in the register of voters. This can be done between the register of voters is issued and the deadline for complaints, two weeks later.

  • The spring register of voters is created on 20 February
  • The autumn register of voters is created on 20 September

Log on to the electronic election system «Valgweb» to check how you are recorded. You do not need to do anything if you are correctly recorded where you wish to vote.

Request a correction of the register of voters

If you are incorrectly recorded in the register of voters you may send a correction request (also called a "complaint") via Valgweb. The last day you may send in your complaint is :

  • 5 March in the spring semester (or on the first following workday), that is 6 March 2024.
  • 5 October in the autumn semester (or on the first following workday).

Correction requests sent after the deadline will not result in a correction unless there is a system error that affects many voters. Complaints concerning staff are handled by the HR Division while complaints concerning students are handled by the Academic Administrative Division. In cases with an element of doubt, the Faculties are consulted while cases of interpretation are decided by the Election Board.

Staff voting rights and constituencies

Your voting rights and constituency is determined by your affiliation to NTNU when the register of voters is issued.

The register of voters for staff is based on the employment group and organizational unit you are registered within NTNU’s payroll system (PAGA).

If you wish to vote at a particular Department and its Faculty, it is important that you are recorded with the correct department affiliation in the register of voters.

  • Permanent and temporary academic staff must be employed in a position with a full-time equivalency of at least 50 % in order to have the right to vote.
  • Students who are employed with a full-time equivalency of at least 50 % position vote as staff.
  • A professor or associate professor in at least 20 % position at the Faculty of Medicine and Health Sciences has the right to vote in local elections.

Student voting rights and constituencies

Your voting rights and constituency is determined by your affiliation to NTNU when the register of voters is issued.

Automatic registration of constituency according to programme of study

All students who have been admitted to a course or specific programme of study at NTNU have the right to vote. Their constituency is automatically recorded with the Department (with the corresponding Faculty) or Faculty who is responsible for their programme of study.

If the programme is organized at the faculty level who wish to obtain voting rights at the Department level, the students may choose which department (with the corresponding Faculty) where they wish to exercise their right to vote. You may, however, only exercise your right to vote in one constituency, that is at one of the Departments (with the corresponding faculty) which is responsible for the courses you take that semester.

Record your constituency when you register for the semester

Students are encouraged to record their constituency when they register for the semester on Student Web. In Student Web, you may choose your constituency (Department with corresponding Faculty) under «My profile" in the left menu.

You should in any case check that you are correctly listed in the register of voters. In case you are incorrectly registered, you must send your complaint within the deadline via the election system. Note that changes in the Student Web will not be transferred to the election system once the register of voters is issued.
