Recruitment and contract extensions
Associate Professors / Professors (only) must register any recruitment and contract extension requests via forms in the IV recruitment SharePoint in order to initiate the relevant process. The regulations and guidelines set out in the SharePoint must be followed. Once submitted, the forms will be received by HR and the Finance Officer for approval, after which HR will proceed with the recruitment process.

Hourly contracts/ assignment agreements
Associate Professors / Professors can request a short-term hourly contract or assignment agreement in order to initiate the recruitment process. Select `Request contract` and complete the form. Once submitted, the form will be received by either the Studies Group or HR, depending on the nature of the tasks/ contract.
Guests invitations
Associate Professors / Professors (only) must complete the form to invite a guest (PhD-level or above).
- Once submitted, the form will be received by HR, the Finance Officer and the Head of Administration for approval. All guest invitation letters must be signed by the Head of Administration.
- After approval, HR will register the guest as necessary, including registration for the online HSE course and guided tour of the laboratories if required.
- The supervising Professor / Associate Professor is responsible for all other practicalities, including ensuring that a member of the research group accompanies the guest to collect his / her access card and office key.
Please be aware of the financial requirements for guests:
*NTNU requires that all PhD guests who are registered in the NTNU PhD Programme must receive a monthly stipend. At EPT the minimum monthly stipend is 19,000 NOK. If the PhD guest is to receive a stipend from their home institution of less than 19,000 NOK per month, you must secure funding to ensure they receive at least 19,000 NOK per month in total. Guests who are not registered in the NTNU PhD programme are not required to receive a monthly stipend from NTNU.
*For visits of 6 months or more, EPT requires you to provide an additional 50,000 NOK per year to cover infrastructure costs. We also recommend that you set up a budget of 40,000 NOK for operating costs.

Sabbaticals
Are you planning to apply for a sabbatical? EPT requires an overview of those who are likely to apply for a sabbatical and we have therefore introduced an EPT procedure for sabbatical (Norwegian). This is to help you plan your stay in the best possible way, and to confirm at the time of application that other duties, such as teaching, will be covered in your absence. This will help us when the Faculty asks for our assessment.
You must remember to submit your application for sabbatical leave to the Faculty by the deadline. It is important that you are familiar with How to apply for sabbatical leave - NTNU.
Research stays / changes of place of work
All employees who wish to go on a research stay of any duration, either in Norway or abroad must complete the form for application for research stay. The form must be approved by EPT before the research stay can start.
