For admin-related PhD questions not pertaining to employment.

This goes to our PhD coordinator, Maren Berg Grimstad, and the rest of that team.

If you have accepted a job offer as a PhD candidate at IBM, Maren will reach out to you to help you and your supervisor apply for admission to the PhD program, sign you up for courses, get you a PhD mentor, and in general be someone you can speak with on psychosocial and practical matters - both before you arrive and during your time here. She also organizes some social events for PhDs.

If you are planning to do a PhD at our department, but being employed elsewhere (typically your current employer), you should also speak with Maren.

This goes to Elin Kristidatter Steen and Runa Nilssen, the PhD coordinators at the Faculty of Engineering. Elin is the one handling IBM cases.

Updated PhD forms for IVHere you find all the forms you need to fill out once you are to do a PhD at IBM - both those pertaining to starting out, those needed underway and those for submitting and defending your thesis.

Note that IBM's PhD coordinator will help you with all of this, so importantly:

- Starting your PhD: look at the email you will receive from phd@ibm.ntnu.no. Please remember to apply for a residence permit with UDI before or at the same time as starting your application for admission. HR will assist you with this, but it is crucial to prioritize the UDI application over the admission application (although you are free to do it simultaneously if you have the capacity).

- Underway: contact phd@ibm.ntnu.no if you are uncertain about how to fill out the relevant form. Write to the same email if you have questions concerning your midway evaluation, and the phd coordinator will send you the relevant documents for IBM (we have our own routine). Typically, the PhD coordinator contacts the main supervisor when the midway point approaches and sends out the relevant info.

- Submitting your PhD: contact phd@ibm.ntnu.no well before, and you and your main supervisor will be sent detailed routines to follow.
