Excursion for students - IE

This page provides guidelines for excursions organized by
the Faculty of Information Technology and Electrical Engineering (IE).

The guidelines are based on decisions from FUS (Forvaltningsorganet for Sivilingeniørutdanningen) and NTNU’s guidelines for HSE during fieldwork, which also apply to excursions.

Deadlines

  • April 15 (the year before the excursion week):
    By this date, the faculty must appoint academic excursion leaders (employees) for each study program who will participate in the excursion.
    For more information, please contact the faculty’s designated contact person.
  • January 15:
    Deadline for applying for financial support from the faculty. Applicants must complete and attach the required templates for the application, budget, program, and risk assessment. All templates are available at the bottom of this page.
    Applications submitted after this date may not receive funding in time for departure.
  • June 15 (after the excursion week):
    The excursion committee is responsible for preparing and submitting a report to the faculty. Please use the report template available near the bottom of this page.

Timeframe, Destination, and Travel Route

  1. Excursions are typically organized for students in their 3rd or 4th year, depending on the structure of the study program. For the faculty’s 5-year technology programs, excursions are scheduled during the 6th or 8th semester, while for 3-year programs, they usually take place in the 5th or 6th semester.
  2. Students enrolled in 2-year master’s programs may participate in excursions alongside the corresponding 5- or 3-year programs.
  3. Excursions must be held during the period defined in NTNU’s annual Academic Calendar, specifically the final teaching week before Easter (week 13 in 2026). Excursions planned outside this timeframe will not be approved unless a prior agreement has been made.
  4. Excursions must not interfere with regular teaching activities. If a student chooses to combine the excursion with a personal holiday, this is done at their own expense and risk. All students are expected to return to campus immediately after Easter.
  5. Destinations should be locations where the academic excursion leader, department, or faculty has an established professional network. All destinations must be academically justified.
  6. The travel itinerary should begin and end in Trondheim (or in Gjøvik or Ålesund if students from those campuses are participating).
  7. Destinations within Europe comply with NTNU’s carbon footprint policy. Travel outside of Europe requires a special application and subsequent evaluation and may only be approved in exceptional cases. A strong academic justification and support from the academic excursion leaders are essential for such applications. See decisions from FUS for more information.

Establishing an Excursion Committee

  1. An excursion committee must consist of one or more academic excursion leaders and elected student representatives. Together, they are responsible for proposing the destination and the academic content of the excursion.
  2. For excursions with up to 50 participants, one academic excursion leader is sufficient. For more than 50 participants, two academic excursion leaders must be appointed.
  3. An academic excursion leader should normally hold a permanent academic position at the faculty.

Roles and Responsibilities of Students and Academic Excursion Leaders

  1. Students are not permitted to represent NTNU when contacting companies or institutions to request financial support for excursions. Official NTNU letterhead or any material resembling it must not be used. Academic excursion leaders are also not allowed to sign such requests.
  2. All students participating in the excursion must have personal travel insurance. As a government institution, NTNU is self-insured and cannot provide insurance coverage for students. NTNU may be held liable under general liability rules only if NTNU or its representatives (e.g., employees) are found to have acted negligently. NTNU assumes no responsibility for any private portion of the trip.
  3. The academic excursion leader holds overall responsibility for the excursion and must ensure that it is carried out in a safe and responsible manner. This includes being well-prepared to handle unforeseen incidents and ensuring that the appropriate NTNU unit is notified if necessary. All participants are individually responsible for their own safety and that of others, and must follow the instructions given by the academic excursion leader. The faculty has developed an emergency action card specifically for excursions.
  4. The faculty will not cover any additional expenses resulting from unforeseen events. Travel and cancellation insurance is a mandatory requirement for receiving financial support from the faculty.
  5. Before departure, the faculty must receive a list all participants. The list must also include contact information and emergency contact details. This will be done by having all participants complete a field card.

Academic Content

  1. The choice of destination must be guided by academic value. Therefore, the destination cannot be finalized until an academic excursion leader has been appointed.
  2. Academic value may include visits to companies and/or organizations that offer insight into areas such as production, education, administration, research, industry, marketing, or organizational and corporate culture.
  3. The academic excursion leader must be actively involved in selecting the destination and must approve the academic program before any application for financial support is submitted.
  4. The excursion program should typically include visits to companies or institutions on each of the five weekdays during the excursion week. The daily schedule should correspond to a full working day, including travel time and lunch. Travel time on any given day should not exceed the duration of the academic activities planned for that day.
  5. Students, in collaboration with the academic excursion leader, are responsible for organizing the practical aspects of the excursion. This includes planning the travel route, booking tickets, reserving accommodation, and managing other logistical arrangements.

Finances

  1. The faculty provides a fixed financial contribution per student, provided that all requirements outlined in the guidelines are met. This amount is adjusted annually for inflation, with the base value set at NOK 1,500 as of December 2020. For 2026, the support amount is NOK 1.845. The amount for 2027 will be announced in September/October.
  2. Each department is responsible for covering the costs associated with the required number of academic excursion leaders (employees). The number of leaders must be agreed upon in advance. For excursions involving multiple faculties, costs are shared: each faculty covers the support amount for its own students and the expenses for its own staff.
  3. Excursions should be planned to ensure they are financially accessible to all students. The maximum student co-payment is also indexed, with the 2020 cap set at NOK 10,000. For 2026, the maximum student contribution is NOK 12.300. The amount for 2027 will be published in September/October.
  4. Students are eligible to receive financial support for the main excursion only once, even if they change study programs.

Follow-up Work

  1. After the excursion has been completed, the excursion committee—together with the academic excursion leader—is responsible for preparing a final report. This report must include a complete and accurate financial statement for the excursion.
  2. The report must be submitted to the faculty by June 15 and may serve as a valuable resource for future student groups when planning their own excursions.

Alternative to the Main Excursion

Since 2018, it has been a requirement to offer an alternative program for students who do not participate in the main excursion. This alternative is organized in collaboration between the Faculty of Information Technology and Electrical Engineering (IE), the Faculty of Engineering (IV), and the Faculty of Natural Sciences (NV).

The alternative program takes place during the same week as the main excursion and is designed to provide students with relevant academic and professional experiences.
