We encourage students and staff to use NTNU’s services whenever possible. On this page you will find an overview of AI tools offered by NTNU, which other tools may be used, and which tools are not approved at NTNU.

AI tools offered by NTNU

Microsoft Copilot is an AI chat available to students and staff at NTNU.

When using AI for image processing, please keep the following in mind:

Do not generate images or videos of others without consent. Images that show individuals are considered personal data and are subject to the General Data Protection Regulation (GDPR).
AI-generated images and videos may also be subject to copyright. You are therefore required to familiarize yourself with the tool’s documentation on how the service handles copyright.
Clearly label AI-generated images/videos so that it is evident that they were created using AI and specify which tools were used.

Scopus AI is a technology in the Scopus database that uses artificial intelligence to help you find relevant articles, identify trends, and gain insights into your field of study more quickly and accurately. Instead of a list of search results, the output is a summary with references to academic sources indexed in the Scopus database.

If you are not on campus, you must connect to VPN to gain access.

Web of Science

Web of Science (WoS) is a large interdisciplinary scientific citation database. Research Assistant is an AI tool that helps you search and structure information from Web of Science’s corpus of peer-reviewed articles. All references are listed, clickable, and reliable. It offers three starting points you can work from: Topic Explorer, Literature Review, and Find a Journal. Use Oria to access the version connected to NTNU, and you must be logged in to the NTNU network or connected via NTNU VPN to access all articles. NTNU pays for a trial period through 2026.

Note that all AI tools can produce incorrect information, and tools without access to real-time data are more likely to hallucinate than those that can search and provide sources. You should always verify that the information and sources you use exist and are correct.

Other AI tools

In general, it is recommended that you use AI tools offered by NTNU whenever possible. At the same time, there are many good AI tools available that can cover needs that NTNU’s AI tools do not fully address on their own. We have therefore created an overview of the most popular AI tools on the market. The overview also includes information about privacy and security in the tools, but we must emphasize that no thorough assessments have been made for each individual tool. These tools are therefore only approved for open (green) data. To use these tools with internal or confidential data, more thorough assessments are required.

Select Enterprise license

Vendors distinguish between private consumer users and Enterprise customers. For products intended for private consumers, the provider will often use the data you enter into the tool to train new models or to deliver targeted advertising, etc. In addition, the data is often processed outside Norway and the EU/EEA area. We therefore recommend checking this before use and choosing an Enterprise subscription whenever possible.

Do not set up integrations

Many AI tools offer the ability to connect directly to OneDrive, your computer, your browser, or similar services. Be aware that such integrations will access all data you grant them permission to read. We therefore discourage setting up integrations between AI tools and other IT tools without first carrying out more thorough assessments.

The development is moving fast.

Functionality, terms, and data processing are constantly changing, and the content on this page may therefore be outdated. You should regularly update your assessments and check the provider’s own pages for the latest information about each tool. Unapproved AI tools

These tools are assessed as unsuitable for use in work or studies at NTNU. This applies regardless of subscription, as even paid plans have significant weaknesses related to data handling, jurisdiction, or other risk factors. These tools must not be used for NTNU-related activities.

PhD Admission

The faculties have the authority to hire and admit PhD candidates. This means the responsibility for verification and assessment lies with the faculties. Unit for Admissions can assist faculties and departments in this assessment in cases where this is needed. Our case officers have experience in assessing foreign education for admissions purposes.

Applications

Applications for assessment of foreign education should be submitted by the administrative contact person for the PhD position or PhD contact person at the faculty/department. All applications must be sent to phdvurdering@sa.ntnu.no.

Applicants with a master’s degree from Norway are not assessed by us.

Please note that we receive a high volume of cases. Faculties are therefore asked to consider which cases require our assessment and which can be assessed on faculty/department level.

The Norwegian Directorate for Higher Education and Skills (HK-dir) provides a service for advice on and assessment of foreign education. All faculties at NTNU should have one person registered with HK-dir for access to this portal.

When submitting an application, please ensure that all required documents are included. You must provide the applicant’s name and date of birth, and specify whether the master’s degree is completed or still in progress.

If the applicant withdraws their application or no longer needs an assessment, notify us immediately.

Documentation requirements

The following must be included:

Final diplomas for all higher education (degree/diploma)
Transcript(s) for all higher education (both bachelor’s and master’s)
- If the degree is not yet completed, a transcript showing all completed courses must be included, and it must indicate which degree the applicant is pursuing.
- If the applicant has additional higher education beyond one master’s degree, this should also be documented.
Diploma Supplement (for European institutions)
- A Diploma Supplement is standard for higher education in Europe and is usually included with the transcript/diploma.
CV
Official translation of all educational documents unless originally in Norwegian, Danish, Swedish, or English
- Only translations by certified translators, official interpreting services, or embassies are accepted. The document must clearly indicate who performed the translation.
- A copy of the original document must always accompany the translation.

Note: We do not assess academic content, so the master’s thesis should not be included.

China

Documents (both diploma and transcript) must be verified by CSSD.

Pakistan

Documents (both diploma and transcript) must be verified by HEC, documented with a stamp on the back of the educational documents.

Documents sent directly from the higher education institution

For some countries, transcripts must be sent directly from the higher education institution.

Applicants with higher education from Ethiopia, Eritrea, Ghana, Hong Kong, Macau, Nigeria, Philippines and Taiwan must ask their higher education institution to send their transcripts as paper copies directly to NTNU.
For Canada and the USA, it is often possible to receive transcripts electronically via email (e‑transcript). You as a contact person must provide your email address to the applicant so that they can request the transcripts to be sent directly to this email account. Electronic transcripts sent via a third party that the university cooperates with (for example Parchment and National Student Clearinghouse) may also be accepted.

Assessment

Unit for Admissions writes an assessment in accordance with the NTNU regulations for PhD admission and sends it by email. The assessment includes information on:

Level of education compared to the Norwegian education system
The extent of the master’s thesis compared to 30 ECTS (30 studiepoeng)
Accreditation status of the higher education institution
Grade point average compared with NTNU’s grading scale

Processing time is around 2 weeks but may be longer during periods of high demand.

Background

On 16 November 2022, the Rector signed the Agreement on Reforming Research Assessment. With this, NTNU joined CoARA, the coalition of universities and research-funding institutions that will further develop how research is assessed in connection with appointment, promotion and distribution of research funding. On this page, information is provided about NTNU's work with the implementation of the CoARA commitments.

Cultural change in research

The Agreement on Reforming Research Assessment has been developed through voluntary efforts led by Science Europe, EUA and the European Commission. The background was an emerging global dissatisfaction with the mismatch between on what basis researchers are assessed and what is expected of them.

The agreement will promote recognition of a wider range of academic contributions to science and society, beyond traditional publications and regardless of the language of publication. Open scientific practice, research collaboration and peer review must be recognised, as well as other contributions, including education, supervision and management tasks. In Norway, these principles are well described in Universities Norway's NOR-CAM toolbox for recognition and rewards in academic careers.

The agreement principles on responsible assessment of research complement the DORA declaration, which warned against the use of bibliometric indicators in the assessment of individual researchers. The agreement points out that one must stop irresponsible use of the Journal Impact Factor (JIF), h-index and institutional rankings in the assessment of researchers.

Both EU research and the Research Council of Norway will incorporate the principles in their calls. Being able to document and account for the impact of the research in academia and in society will be important if you want to succeed in externally funded research. The reform is also included in the European Charter for Researchers (HR Excellence in Research).

NTNU's action plan

As a member of the Coalition for Advancing Research Assessment (CoARA), NTNU is committed to revise its own assessment practice in accordance with the principles of responsible assessment of research and recognition of a wider range of academic contributions in accordance with NTNU's social mission. The aim is to promote the quality and impact of research.

NTNU's action plan 2023-2027 (pptx) points at actions to make the principles known in the academic communities and revising internal guidelines and practice. The plan is also published in CoARA's document archive. By 2026, institutional guidelines have been revised. Raising awareness and building competence will be the main focus henceforth. Here are some institutional actions thus far:

March 2026 – An informal status report on the state of implementation of the NTNU CoARA Action plan, prepared in conjunction with a CoARA project (powerpoint in English)
January 2026 - Rector's letter of allocation to the faculties: Key measures in competence development in 2026 will include follow-up and implementation of NORCAM and CoARA.
December 2025 - NTNU's fixed-term management program: Academic assessment - change in rules and culture (powerpoint in Norwegian)

Spring 2025 - NTNU led and was the secretariat for the Universities Norway working group that prepared a Universities Norway guide on assessment of competence in appointment and promotion to associate professor and associate professor. The Universities Norway guide included a competence matrix for applicants adapted to this career ladder and a guide for experts on what responsible assessment of research entails in this career track.

OneDrive - Setup in Linux 1.4

It is possible to synchronize files with your OneDrive account at NTNU by using the client simply named "OneDrive Client for Linux", more info about the client is available at Github.

Configuration

Before connecting your account you have to configure the client.

Create the folder for storing the config file:

Create a file under the new folder, name it config and enter the following lines:

Logging on

To log on for the first time, you have to issue the following command:

onedrive --reauth

(If you get an error message saying that use_device_auth is not recognized as a config option, you will find a workaround for this further down.)

This will print out a link on the screen: https://login.microsoft.com/device and beneath the link you will find a code that has to be entered in order to connect to your OneDrive account:

After entering the code, you will be asked which account you want to connect.

The last step asks if your are trying to sign in to "NTNU - OneDrive Linux Client - Internal", you must click "Continue".

Now onedrive should be authenticated, and you can start syncing your files.

Syncing

Manual syncing

By default, the onedrive client will synchronize your files to a folder named OneDrive in your home folder. You can start the synchronization with this command:

onedrive --sync

Automatic sync

To make the synchronization process automated, the client comes with a systemd service that can be activated like this (some distributions will do this automatically):

systemctl --user enable --now onedrive

If you want to stop the automatic sync process, you can do this by issuing this command:

systemctl --user disable --now onedrive

Authenticating older versions of the client

If you get an error message for the option use_device_auth, you can remove that line from the config file and try again. This will give you a much longer link to click. Click this link and follow the login procedure. At the end you will be forwarded to a page with a long error message. The URL in the address bar on this page must be copied and pasted back to the terminal where you started (the whole address, it is very long), and then press enter. If everything went well, you will now be authenticated.

Election of Extended Management Team at IE departments 1.3

In spring 2026, elections will be held for representatives of temporary academic staff to the Extended Management Team at all departments at IE. The term of office runs from 1 August 2026 to 31 July 2027.

In addition, at the Department of Engineering Cybernetics (ITK), elections will also be held for permanent academic staff and technical-administrative staff to the Extended Management Team.

Number of Representatives to Be Elected

At all IE departments:

1 temporary academic staff representative and 1 deputy - Elected for one year

At the Department of Engineering Cybernetics (ITK), the following will also be elected:

1 technical-administrative staff representative and 1 deputy - Elected for three years

Students conduct their own elections for their student representatives.

Important Dates

Elections at ITK will be held from 15–17 June (the election opens at 08:00 and closes at 22:00). The deadline for nominating candidates is 1 June.

Elections at IEL will be held from 8–10 June (the election opens at 08:00 and closes at 22:00). The deadline for nominating candidates is 27 May.

Elections at the remaining departments will be held from 1–3 June (the election opens at 08:00 and closes at 22:00). The deadline for nominating candidates for these elections is 18 May.

Eligibility

To be eligible, candidates must have an employment contract covering the entire term of office, at a minimum until 30 June 2027.

Candidates must also have very good Norwegian language proficiency, equivalent to the requirements for admission to Norwegian-taught study programmes and permanent academic positions. The language requirement is described in more detail in the election regulations.

The following persons are not eligible:

Persons who have held the same position continuously for eight years
Persons in management positions covered by § 4.3 of the election regulations
Members of the election committee

One representative and one deputy shall be elected. To fulfil the election regulations’ gender balance requirements, they must be of different genders. An election may only be held when at least two nominated candidates of different genders are available.

Compensation

PhD candidates and postdoctoral researchers elected to positions at faculty or department level receive compensation. The main rule is paid extension of the employment contract.

If the candidate has remaining mandatory duties, it may be agreed with the department that the position forms part of this workload. Such positions may constitute a maximum of three months of mandatory duties.

Do you know someone who would do a good job? Voters are responsible for nominating candidates.

Each nomination must be supported by three persons. The nomination is submitted by one of the nominators, with the other two copied. The candidate must also be copied.

Employees standing for re-election or election at department level may nominate themselves.

Electoral Roll

The election system updates the electoral roll daily from NTNU’s HR system. Check your registration by logging into valgweb and clicking on your name.

You have voting rights in the voter group and unit where you hold your main position (minimum 50%). If you are registered incorrectly, contact your personnel manager immediately so that a correction can be sent to the HR system.

Once a vote has been cast, it is registered based on your affiliation at that time. Votes can not be changed.

Mandate and Meeting Frequency of the Body

As described in NTNU’s governance regulations (§ 4.1.2), the Extended Management Team is an advisory body to the Head of Department. It shall consider the following matters:

Annual plans and action plans
Strategic staffing plans
Internal allocation of funding and budgets
Research priorities and profile
Course portfolio and study programmes
Quality of education
Internal organisation
Matters of principle

The bodies shall be convened at least twice each semester, and otherwise as needed. Meetings must be scheduled at times that ensure participation from employees and students. Meeting notices and minutes shall be prepared and made available to staff and students.

If there is disagreement between the Head of Department and the department board regarding decision-making authority, the matter shall be decided by the Dean.

A key deliverable is a digital toolbox for creativity and innovation. It will be available to all NTNU employees.

Purpose of NTNU Create

NTNU Create will:

map creativity and creative processes across NTNU
identify and collect existing methods in a shared digital toolbox
develop new resources for creative work across disciplines
support NTNU’s strategic goal to further develop the interaction between art, technology, and science

The project aims to foster broad creative intelligence across disciplines. The objective is to strengthen NTNU’s ability to develop new ideas, services, research and project applications, and to identify potential contributions and solutions to complex societal challenges.

What is the toolbox?

The digital toolbox will:

be an internal resource for NTNU employees
describe methods, tools, infrastructure, and processes for creative development
provide practical examples and support for use in teaching, research, innovation, and collaborative projects
offer inspiration and open up new ways of working across disciplines

The toolbox is being developed through insight work, testing, and pilot projects in collaboration with academic areas and NTNU’s interdisciplinary strategic research areas.

Ongoing work

Insight work

The project gathers insights through interviews with staff from different academic areas and disciplines. The aim is to understand:

how creativity and creative processes are used in practice
what needs exist in terms of infrastructure, support, and methodology

The insights are analysed to identify shared principles and methods that can form the foundation of the toolbox.

Development and testing

The work is iterative and includes:

Development of a prototype for design and structure, including user testing with NTNU’s interdisciplinary strategic research areas and individuals from different academic environments at NTNU
Planning and implementation of pilot projects

Pilot projects

The pilots function as "sandboxes" where methods are tested in practice and where we explore what makes interdisciplinary processes valuable.

About NTNU Help

What is considered personal data?

Purpose

The purpose of processing personal data in NTNU Help is to enable you to manage your support inquiries (“cases”) at the Norwegian University of Science and Technology (NTNU).

NTNU processes personal data in NTNU Help in order to:

receive, handle, and respond to inquiries from students, employees, and external users
provide support related to IT, administrative services, and study‑related questions
ensure proper case follow-up, history, and quality in service delivery
improve our services through anonymized statistics and analysis
fulfill NTNU’s statutory obligations related to service provision, operations, and documentation

Legal Basis

Processing is authorized under the Norwegian Universities and University Colleges Act(Universitets‑ og høyskoleloven).

Processing is also necessary for NTNU to fulfill its contractual obligations with students and employees. Some types of processing—such as approval of course registrations and exam registrations—constitute the exercise of public authority.

The processing is based on the following provisions of the General Data Protection Regulation (GDPR):

GDPR Article 6(1)(e) – task carried out in the public interest (education, research, and service delivery)
GDPR Article 6(1)(b) – necessary for the performance of a contract (students and employees)
GDPR Article 6(1)(a) – consent (applies to voluntary information not required for service delivery)

For any special category personal data, relevant exemptions under GDPR Article 9 apply.

Which personal data is processed in NTNU Help?

NTNU asks that you do not submit sensitive personal data in NTNU Help. If such data should be submitted, it will be handled according to applicable regulations.

The following categories of personal data may be processed:

profile information (name, contact details, and information about your affiliation with NTNU)
text and attachments you submit
data on actions you perform in NTNU Help
case numbers and timestamps
log data related to service usage (activity related to case handling)
your IP address (for documentation of your registrations)

Personal data may originate from:

You, through NTNU Help or emails you send that are stored in NTNU Help
Case handlers at NTNU
If you have an NTNU user account, we retrieve your username, full name, display name, email address, organizational unit, office location, private email address, and mobile number from NTNU’s identity and access management systems (e.g., Feide and Azure AD)

It is voluntary for external users to register personal data, but without such data NTNU may not be able to process your inquiry.

Information related to your employment or studies may also be registered when necessary, such as your background, course and exam registrations, study location, employment details, applications for approval, and any documents you upload.

Where your personal data is stored

NTNU Help uses the system TOPdesk, provided by TOPdesk Danmark A/S.

TOPdesk for NTNU is operated as a SaaS solution on TOPdesk’s cloud platform.

All data is stored in data centers within the EEA, in accordance with a data processing agreement between NTNU and TOPdesk.

TOPdesk only has access to personal data when necessary for providing technical support, and always under NTNU’s instructions.

Who has access to your personal data?

Personal data is shared only with:

NTNU case handlers who require it to perform their work tasks
Relevant professional units as needed (IT, HR, study administration, property management, finance, etc.)
TOPdesk (the system provider), when technical assistance requires it and under the data processing agreement

Data is not disclosed to other entities or third parties unless NTNU has a legal basis for doing so.

How long is your personal data stored?

Information about your activity is stored in order to provide you with support and to analyze general service usage.

Cases are stored as long as necessary for follow‑up, and in accordance with NTNU’s archiving routines and legal requirements.

Note: Some types of cases may be subject to archiving requirements under the Norwegian Archives Act(arkivloven).

Information that NTNU is legally required to retain (e.g., for accounting obligations) will not be deleted.

If you request deletion, the request will be assessed on a case‑by‑case basis in accordance with applicable law and NTNU’s documentation obligations.

Security of your personal data

NTNU regularly performs risk and vulnerability assessments to protect personal data in NTNU Help. Security measures, such as access controls, are implemented to ensure that only personnel with a valid need have access to your data.

The system is logged for security and audit purposes.

Your rights

You have rights under GDPR regarding access, rectification, deletion, restriction, and more.

What you get by default
When you have additional needs

This page gives you an overview of the course-room you are assigned automatically and the course-rooms you can request for special needs. Before you start working in your course, choose which types of room you need.

What you get by default

Every course receives a standard course-room. For the vast majority of courses this is sufficient, because all content is shared for that course

The course site includes a default course template, a main section containing all students and person‑roles from the course in FS, and an empty “Manual Role Assignment” section that can be used to grant roles directly in Canvas (see the Add roles directly in Canvas guide).

Note: You cannot add students manually to a course – they are imported from FS.

The course-room is created automatically and appears on your dashboard early April for autumn courses and early October for spring courses. Within the cours-room you can group your students in various ways – see Grouping students in Canvas for details.

When you have additional needs

Some courses require more than the standard setup for organizing rooms, content, and users. Below is an overview of the extra course-room types you can request and how to order them. A collective overview is available in the right‑hand meny.

I want to combine several courses into one course-room

Cross-listed course-room (Norwegian: sammenslått rom)

When to choose this

This is suitable if you teach several courses that follow each other. It can be cross‑campus courses, or courses that have several course codes, for example a version for campus students and a version for digital students, but share the same content.

You can control content, deadlines, submissions and information differently for each course, but do everything from a single course-room instead of several.

What you get

You receive one course-room that aggregates students and person‑roles from all the courses you have selected to merge.
Each course gets its own section, so you can easily see which course code the users belong to. You can control content, deadlines, submissions and information for the different sections.

How to do it

Fill out the form for cross-listing in NTNU Help.

Order the cross-listed room before you start building a lot of content in the individual course-rooms that are created first.

The order must be submitted again each semester.

I want the same content in several course-rooms

Blueprints

When to choose this

Choose this when you have standardised content and a fixed structure that should be identical in several courses, but you still want each course and its students to be separate in their own course-rooms.

For example, you may teach several master‑level courses and have some common material for all of them, in addition to course‑specific material in each course. Static content elements (pages, video, images) are best shared via a Blueprint. Interactive elements such as assignments, Zoom meetings, quizzes, discussions and announcements should be added in the individual course-rooms.

What you get

You receive a separate Blueprint course that serves as the “template” for shared content. The courses you assign to this Blueprint pull the content from it, while you can also have course‑specific material in each course. The main advantage is that shared content is edited in one place and updated automatically in the assigned courses. You can also decide whether the shared content should be locked for editing in the assigned courses. Course‑specific content and student follow‑up happen in the individual course-rooms.

I want to use existing divisions from the course in FS to tailor Canvas content

Sections / activity rooms

It is possible to use the already existing divisions of students and teachers from the teaching activities in FS inside Canvas.

You have two options:

Teaching activities from FS become sections in the course room.
Teaching activities from FS get their own coruse-rooms, in addition to a common course-room for the whole course.

If you do not have student divisions defined in FS, usinggroups and tags in Canvas can be a good alternative. See Grouping students in Canvas.

Sections

When to choose this

When you need to customise information, content, deadlines and assignments for a division of students you already have defined in FS. This could be seminar groups, lab groups, classes or other types of divisions.

NB! This requires that students are assigned (partiplassert) to the activity in FS.

What you get

You receive a course-room with one main section containing all students and person‑roles from the course in FS, plus the empty “Manual Role Assignment” section.
In addition you get one section for each teaching activity you have chosen to include. These sections are automatically populated with students who are, or become, assigned to the activities in FS.

Students become members of both the main section and any extra sections.

How to do it

The following must be performed by an administrative staff member at your institute or faculty who has the right to update teaching activities in FS (guide in Norweigan).

It is a prerequisite that students are, or become, assigned to these activities in FS; otherwise you will only get empty sections in Canvas.

Sections can be created both before and after the course site has been created. The integration with FS will create the sections shortly after the change in FS. The integration will not delete sections that you later decide you no longer need; you must remove them manually in Canvas.

Settings are copied to the next year. Changes are made when you no longer want the same setup.

Own activity course-rooms

When to choose this

When you need the selected teaching activities to have their own Canvas course-room in addition to the common course-room that is created. This can be the case for courses that have varied teaching in seminar groups but also share some material, or when a lecturer or seminar group teacher wants to set up a seminar room with their own content. Keep in mind that students and teachers will then have several sites to deal with within the same course.

What you get

You receive a course-room that contains all students and person‑roles from the course in FS. In addition you get a separate course-room for each teaching activity you have selected to include. These course-rooms are automatically populated with students who are, or become, assigned to the activities in FS.

Students therefore become members of both the main course-room and any extra activity course-rooms (e.g., seminar group rooms) they belong to via FS.

How to do it

The following must be performed by an administrative staff member at your institute or faculty who has the right to update teaching activities in FS (guide in Norweigan).

It is a prerequisite that students are, or become, assigned to these activities in FS; otherwise you will only get empty sites in Canvas.

This option should preferably be made before the sites are created in Canvas, i.e. before the start of April for the autumn semester and before the start of October for the spring semester.

I want a course-room for a programme/cohort/class

When to choose this

Use this when you need to share academic content with a programme, cohort and/or class that is not attached to a specific course.

It is recommended that you think through the purpose of these sites before they are created and be clear about which channel the information is delivered to students.

What you get

You can choose one of the following (you cannot have both a programme course-room and separate cohort course-rooms for the same programme):

Programme course-room – a course-room that gathers all students in a specific programme. Each cohort gets its own section, making it easy to see which group the users belong to and to control content, deadlines, submissions and information.

Cohort course-room – a course-room that gathers all students in a specific cohort. If you use class divisions, these can be transferred as separate sections, again letting you see which group the users belong to and control content, deadlines, submissions and information.

Note! If you are registered in FS with the person‑role Study Programme Administrator (SPA), you will receive the teacher role in the course-room in Canvas. Otherwise, local administrators at your institute can grant you the teacher role directly in Canvas after the course-room has been created.

How to do it

The following must be performed by an administrative staff member at your institute or faculty who has the right to update the study‑programme overview in FS (guide in Norwegian).

A programme course-room is created once, but you must ensure that any new cohorts and classes have the correct values in FS so they obtain access in Canvas.

I want a site that is not a course in FS or a programme/cohort

Manual course-room

When to choose this

When you need a course-room that is not linked to any course in FS, nor to a specific programme, cohort or class, you can order a manual course-room. This could be a course-room for students across several programmes, HMS‑training, mandatory inductions, etc.

What you get

When you order a manual course-room, it works like a standard course-room. The difference is that all students and staff must be added manually, and you, as the requester, are responsible for maintaining which roles have access to the course-room.

It is also possible to share a registration link so that students can enrol themselves.

The request must be submitted again whenever you need a new manual course-room or want to make changes.

This page contains information about the AI chat GPT NTNU (gpt.ntnu.no). This tool is available for students and staff at NTNU. GPT NTNU is developed in collaboration with UiO and runs on infrastructure at UiO and NTNU.

Get started

GPT NTNU is available on the website gpt.ntnu.no. Log in with your regular NTNU account by clicking the button “Log in via Feide”. Read and accept the terms of use before using the service.

There are several different language models available that you can choose from when starting a conversation. Read the descriptions and choose the one that best suits your needs.

Note: The models cannot search web pages on the internet, and only have data up to the point in time when they were trained. GPT NTNU will therefore not have up‑to‑date information, and is not a chatbot for user support or for referring users to websites.

Three of the available models use only infrastructure at UiO and NTNU, and one model uses Microsoft’s Azure cloud service. The selection of available models may change over time, in order to keep up with developments.

What can GPT NTNU be used for?

You can use the tool to process information and data that is classified as open (green) and internal (yellow). Examples of use include proofreading and improvement of texts, meeting minutes and summaries, explanation of academic and complex questions or review of key concepts in the syllabus before exams.

GPT NTNU should not be used to assess, process or analyze information about individuals. Be careful with what personal information you paste in, and aim to use examples or anonymized data.

About GPT NTNU

GPT NTNU is a web application developed in collaboration with UiO, based on their service GPT UiO. The service runs on internal infrastructure at NTNU and UiO, and offers a GPT model from OpenAI, in addition to several other language models under testing.
GPT NTNU is a safe and controlled alternative that takes into account privacy for you as a user:

Conversations and user information are stored on a physical server at UiO
Data and conversations are not used to train the models further
The language models themselves run on infrastructure at NTNU (see more info on models available on the supercomputer IDUN)

Several language models (AI that is made for reading and generating text) are available in GPT NTNU. The various models have different strengths and weaknesses, and continuous assessments will be made of which ones are most relevant. This is related to the type of input, what they are best suited for and how efficient and power-intensive they are. In addition, the models are trained on different types of data and can have different types of bias and filters, which will affect what you as a user get as output. It is important to be critical of what you get as output from the models. Consider ethical and legal aspects when using AI models, from energy use and training data; to security policy, privacy, bias and misinformation. Due to these challenges and the rapid development of models, a continuous assessments of which models should be available in GPT NTNU will be done.

Create and use AI assistants
- Important: Use AI assistants with care – especially if you are creating one to share with others or using someone else’s AI assistants. Be aware that the AI assistant is set up for a purpose, and it may contain biases or errors that can affect multiple users when shared. Always check responses against trusted sources and avoid sharing personal or sensitive data, especially when setting up the AI assistant.

Avoid pasting personal information directly into GPT NTNU
Clearly mark AI-generated content
You are responsible for everything you produce with AI tools like GPT NTNU
Start a new conversation for sensitive topics
Consider deleting chat history you no longer need

What is stored and for how long?

When you use GPT NTNU, your queries (input) and answers (output) are stored on a server at UiO. You have access to this conversation history when you are logged in. When you delete a conversation, it will immediately be removed from your visible history, and will be marked for permanent deletion from servers at UiO after one month. History from your inactive conversations will be automatically deleted after one year.

In addition, technical log data is stored for one year. This includes logins, time stamps, IP addresses and account information, in accordance with other IT services and tools at NTNU. This is to ensure the operation and maintenance of the service itself, including troubleshooting and quality, as well as to prevent fraud, abuse and maintain security.

To improve the user experience of the application itself in the browser, cookies are stored about login session, language selection and authentication.

NTNU has a data processing agreement with UiO that regulates the storage, access and use of personal data on their servers (see also the privacy statement for GPT UiO for further details, Norwegian only).

Logs and access to information

Only operational and security staff at NTNU and UiO have technical access to the logs. Access to these will only be granted after a thorough assessment, and all access is permanently logged. Approved purposes for access are security incidents, troubleshooting technical problems, legal obligations/orders from authorities or users' own requests for access.

Important: Chat history is not used for control purposes, to make decisions about individuals, or to investigate cheating. This is part of NTNU's guidelines. Users are informed about access either in advance or afterwards. In the event of security incidents or legal orders, the user is notified afterwards when access has been carried out.

Terms of Use for GPT NTNU

When you first log in to GPT NTNU, you must read and accept the terms of use, which are similar to Terms of Service at GPT UiO. In addition, all use must be in line with the NTNU ICT regulations, which apply to all employees, students and guests associated with NTNU.

Some particularly relevant points to be aware of when using an AI service such as GPT NTNU:

do not mislead third parties by claiming that output has been generated by humans when this is not the case
do not use the service to make decisions without appropriate human supervision, especially if the decision could have consequences that could affect individuals
do not use the service for content, including both input and output, that
- describes, contains, promotes or is used for purposes related to child sexual abuse and sexual exploitation
- describes or is used for purposes related to grooming
- describes or is used for purposes related to human trafficking
- describes, supports, promotes, glorifies, encourages and/or instructs individuals to commit suicide and self-harm
- describes, contains or promotes violence, violent content and violent behaviour
- describes, supports, promotes, glorifies, encourages and/or instructs individuals to commit terrorism and violent extremism
- promotes or is used for purposes related to violent threats, incitement to or glorification of violence
- is used for purposes related to hate speech and discrimination
- used for purposes related to bullying and harassment
- used for purposes related to intentional fraud, deception, and disinformation
- used for inauthentic interactions, such as fake accounts, automated inauthentic activity, impersonation to obtain unauthorized information or privileges, and for content that claims to be from a person, company, government agency, or others without express permission

This page describes NICE-2, a service for storing, analyzing and processing research data that requires extra security. Here you can both store and work with research data and other types of data in secure project areas, with a selection of available software. NICE-2 is approved for confidential (red) data, and is well suited for students who use their own PC.

NICE-2 has been developed by the IT department at NTNU to address needs not covered by other solutions. The service has been piloted since the fall of 2025, and is now being gradually introduced at NTNU. NICE-2 is particularly suitable for qualitative data and smaller, internal research projects and student assignments.

Note: User fees will in the future be introduced for projects with greater storage needs, specialized software, etc. NICE-2 has been developed as part of the Research Data Project.

Order a project area by filling out the form at APPLY FOR NEW PROJECT STORAGE. Research Data @NTNU will contact you if there is a need for clarification on whether this service meets your needs.

NB! Supervisors must apply for project areas on behalf of students.

Adding members to the project area

Only employees and students at NTNU can be added as members. It is recommended that you search by e-mail address.

External users must have an NTNU user. See Guest Service.

Choose whether the member should be a User or Administrator. Only Administrators can add members.

Connect to the project area

Download rdp file by clicking CONNECT and DOWNLOAD RDP FILE.
Open the file in Downloads with file explorer.
Press Yes if asked for certificate.
Open the DUO app on your mobile and approve login.

Note: if you are not on campus (on the NTNU network) you must connect to VPN to be able access your NICE-2 project area.

Upload files to the project area

Via website

1. Click UPLOAD. Drag and drop your files or press Browse and select files from a folder.

2. Click CONFIRM.

3. The files you upload will be available under data (E:).

4. If you have a file structure you want to preserve, or have more than ten files, we recommend using 7-zip to save and upload the .zip file.

Via WinSCP

Install and open *WinSCP*.
Enter Hostname: filegw."Shortname from NICE-2".nice2.iaas.ntnu.no Port number: 22, Username: "username"@ntnu.no
You can click Save to make it easier to log in next time. We recommend not filling in your password, but typing it in each time you are asked.

It is not possible to cut and paste between your PC and the project room. This ensures that exporting data from the project area is an active choice, using WinSCP.

There is limited support for video streaming from the project room, e.g. stuttering during playback. We are working on finding a better solution.

Can I change the window size of the project area?

The virtual PC (project area) is set by default to fill your entire screen. If you want it to only appear as a window, you can easily adjust this. Right-click on the rdp file you downloaded, select Show more options, select Edit, select the Display tab, adjust the Display configuration to the desired size.

Git is a version control system, which makes it easy to track changes, and revert to previous verison. This guide shows you how to set up a git repository on your NTNU home catalog.

NTNU also has its own instance of GitHub available to all employees and students, see more information on the GitHub wiki.

This article will guide you through how to make and use a git repository from your home area or group area at NTNUs servers, using SSH. After you have created the repository, you can use graphical software like these if you rather prefer that. If you do so, please note that the graphical client to Windows from GitHub does not work optimally with NTNUs home and group areas.

Create a Git repository

Before you can start to use Git, you must have a repository. This is the place where the files and folders to a project, is located. If you don't have access to a repository, you can create one at one of NTNUs unix servers. To log in there, take a look at our SSH article for a step by step guide on how to do that.

On the stud/ansatt server, type:

git init --bare projectname.git

Note down the path, as we're going to use that later.

If you haven't already installed git on your local machine, now is the time:

For linux, run the following commands:

RedHat/Fedora:

  username@<computer-name> ~$ yum install git-core

Debain-based distro:

  username@<computer-name> ~$ sudo apt-get install git

For Mac OSX:Install GitHubs client and choose also to install command line tools. An other alternativ is to install git for osx from here. If you already have MacPorts on you mac, you can instead run this command:

  username@<computer-name> ~$ sudo port install git-core +svn +doc +bash_completion +gitweb

For Windows:Install GitHubs client. You will from there use the program git shell that comes with the graphical client. Alternatively, download msysgit og use the msysgit shell..

Initializing Git on your own machine

Start Terminal on OSX/Linux, or start git shell/msysgit shell on Windows.

Use the command cd (change directory) to navigate to the folder where you want the git repository to be stored.

  username@<computer-name> ~$ cd <path to folder where I want my project>

When you have navigated to the designated directory, type:

 username@<computer-name> ~/<project path> $ git init
 
 Initialized empty Git repository in <project path>.git/
 
 username@<computer-name> ~/<project path> $ git remote add origin ntnu-username@login.stud.ntnu.no:<path>

If you don't remember the path on login.stud.ntnu.no where the first repository was created, log on login.stud using ssh, then use the cd command to navigate to that folder. Once you're there, type the command "pwd" to show the current path.

To test that everything works, do your first commit by creating a text file, for example test.txt in the repository (project folder).

 username@<computer-name> ~/<project path> $ git add <test fil>
 username@<computer-name> ~/<project path> $ git commit -m 'Initial Commit'
 username@<computer-name> ~/<project path> $ git push origin master

Congratulations! You have now created your first repository on your NTNU home folder.
